What data we process, why, and what rights you have.

2. Overview

Invoice Creator stores your invoices, customer and company data locally on your device. We only receive personal data when you visit this website, use forms, post in the forum, open a support ticket, use the online invoice, buy add-on modules or use online functions of the program (e.g. registration, update check, saving settings online). The following explains which data is processed.

The legal bases are in particular Art. 6(1)(a) GDPR (consent), (b) (contract or pre-contractual measures), (c) (legal obligation) and (f) (legitimate interests), as well as Section 25 of the German Telecommunications Digital Services Data Protection Act (TDDDG) for accessing information on your device.

3. Hosting and server logs

This website is hosted by IONOS SE, Elgendorfer Str. 57, 56410 Montabaur, Germany. IONOS processes the data on our behalf as a processor (Art. 28 GDPR). When pages are accessed, the server processes technically necessary data (IP address, date and time, requested page, browser identifier, referring page). The legal basis is our legitimate interest in secure and stable operation (Art. 6(1)(f) GDPR). Logs are kept only as long as necessary for these purposes and are then deleted automatically.

For some forms, we match IP addresses against a database stored on our own server to determine the approximate location (country, region, city); no data is transferred to third parties in the process.

4. Storage in your browser

This website does not use cookies for advertising or analytics. If you change the “Cookie settings”, your choice is stored in your browser's local storage (entry “rv-einwilligung-v1”: chosen categories and time). This is strictly necessary for the settings to work (Section 25(2) no. 2 TDDDG).

5. Support tickets, contact and other forms

When you open a support ticket, we process the data you provide (e.g. name, first name, email address, customer number, installation key, subject and message) and your IP address in order to handle your request. Requests are also forwarded to us by email. The legal basis is Art. 6(1)(b) GDPR or our legitimate interest in answering enquiries (Art. 6(1)(f)).

The same applies to other forms: comments on tutorials and articles (name, email, message), suggestions, program ratings, error reports from the program and flyer requests (name, postal address, email). We also store your IP address and the time in order to prevent misuse.

We store this data for as long as necessary to handle your request and then delete it unless statutory retention obligations apply. Published comments remain visible until you request their deletion.

6. Google reCAPTCHA

To protect the suggestion form on the home page against automated submissions, we use Google reCAPTCHA by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. reCAPTCHA is only loaded when you use the form. Data such as your IP address, browser information and your behaviour on the page is then transferred to Google, including to the USA. The legal basis is our legitimate interest in protection against spam (Art. 6(1)(f) GDPR). Google is certified under the EU-US Data Privacy Framework. More information: Google privacy policy.

7. Forum

Registration is required to post in the forum. We process your user name, display name, email address, optionally your location and a password, as well as your IP address. Your posts are publicly visible with display name, location, date and number of posts. We may notify you of new replies by email. The legal basis is Art. 6(1)(b) GDPR (use of the forum). You can have your forum account deleted via the unsubscribe page or by email to us, and request the deletion of your posts.

8. Online invoice

With the online invoice you can fill in an invoice in your browser and receive it as a PDF. The data you enter (e.g. your company details, recipient, invoice items, bank details) is transferred in encrypted form (https) to our server rechnungsverwalter.de, processed into a PDF file and stored under a randomly generated address that only you receive. The legal basis is Art. 6(1)(b) GDPR. The PDF file is deleted automatically after 7 days; until then you can retrieve the invoice again via the link. Please save the PDF file on your own device. In addition, for every invoice created we record the invoice number, total amount, time and your IP address in order to detect misuse and to evaluate usage statistically (Art. 6(1)(f) GDPR). You can request earlier deletion at any time by email.

9. Online functions of Invoice Creator

The program can connect to our server, for example to check for updates, register the software, use premium support or add-on modules, or save settings online and transfer them to other devices (e.g. the app). Depending on the function, your IP address, program version, installation key and the data required for the function (e.g. email address, customer number, saved settings) are transferred and stored. The legal basis is Art. 6(1)(b) GDPR, or our legitimate interest for the update check (Art. 6(1)(f)). The data is stored as long as you use the respective function or statutory retention obligations apply.

10. Payments via PayPal

For purchasing add-on modules and for donations we use PayPal (Europe) S.à r.l. et Cie, S.C.A., 22-24 Boulevard Royal, L-2449 Luxembourg. When you pay with PayPal, the data required for payment processing (e.g. name, email address, amount, transaction number) is exchanged between us and PayPal. PayPal notifies our server automatically when a payment is received. The legal basis is Art. 6(1)(b) GDPR. We keep invoice and payment data in accordance with statutory retention periods (up to 10 years). More information: PayPal privacy statement.

The App Store and Google Play badges are images on our own server. Only when you click such a link are you taken to the respective provider, whose privacy policy then applies.

12. Your rights

You have the right of access (Art. 15 GDPR), rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18), data portability (Art. 20) and to object to processing based on legitimate interests (Art. 21). You can withdraw any consent at any time with effect for the future (Art. 7(3)). Please contact us at the address above.

You also have the right to lodge a complaint with a data protection supervisory authority. The authority responsible for us is the Bavarian State Office for Data Protection Supervision (BayLDA), Promenade 18, 91522 Ansbach, Germany.

13. Retention in general

We store personal data only for as long as necessary for the respective purpose or as required by statutory retention periods. The data is then deleted.
